Job Description
General/Position Summary
The ISC Coordinator works with the International Supply Chain team and their cross functions to provide effective support for planning and execution of the following tasks.
This is a hybrid position based in Paddington, London.
Key Responsibilities
Training co-ordination across ISC
- Acts as the Training Coordinator for ISC, assigning training to new starters and point of contact for any training requirements for the team.
- Lead the Personal and Training Qualifications Review (PTQR) for ISC on an annual basis.
- Keeps team CV ‘s and JD’s up to date in compliance with SOP-0168, and maintain a tracker.
- Maintain a ISC Training Tracker (non VertexU)/ Conferences.
- Maintain Role Based Curricula framework for ISC
- Work closely with ISC Document Owners and QA Training Administrator to facilitate Training Impact Assessments.
- Link with Global Training team to resolve training queries
- Participate in regular Global forums for Training co-ordinators to keep up to date with global training initiatives and standards.
- Main point of contact in ISC for VCT/ TPRMS administration and queries.
- Coordinates contracts/statements of work with the sub-functions with the project lead & suppliers.
- Ensure all new contracts/service statements are correctly processed on VCT and raise associated PO’s.
- Ensure service statements and contactors are signed according to the Vertex Authorisation Matrix.
- Create purchase orders in a timely manner so that the team can commence work.
- Raise 3PL annual PO’s for the Logistics team and assist with purchase order amendments when required.
- Responsible for the tracking of ISC consultancy budget and update on quarterly basis.
- Assists in developing processes to support ISC records management
- Owns Process Library Document
- Facilitates update of process library as required
- Leads and co-ordinates discussions within ISC on the future use of process library
- Facilitates mapping of ISC processes, as required for training and reference purposes
- Lead and drive improvement and change in collaboration with the Privacy office
- Act as a liaison to the Privacy Office and assist with answering privacy related questions.
- Work with business process owners to identify business processes that collect personal data and complete a privacy questionnaire.
- Escalating questions, concerns to Privacy when needed
- Assists and supports continuous process improvement initiatives across the designated area of role responsibilities.
- ISC events e.g. offsites & POETs.
- Schedules for key projects meeting and workshops for external vendors.
- International onboarding of new employees into the assigned department.
- Travel risk forms and international visas.
- Raise P-Cards for team members as needed
- Bachelor’s degree or equivalent
