This role is critical for the success of the executives you will be supporting and so RWS as a whole. Your role will primarily be to support three Executives and one President with tasks such as scheduling, reviewing, prioritizing and responding to emails, answering and returning phone calls, organising documents, maintaining records and managing their diary and travel, while deputising for the Chairman and CEO’s EA when required.


Supporting the Chairman and CEO’s EA to ensure a consistent approach to executive support; the role will be varied, challenging and enjoyable, giving you opportunity to take ownership and shape the position to best suit your Executives and yourself while working in a rapidly growing global organisation.


The role will be a full time, hybrid role with 2-3 days of the week based in our Maidenhead office.


Responsibilities:

  • Provide secretarial and administrative support, while supporting the Chairman and CEO’s EA as required
  • Act as first point of contact for your Executives.
  • Manage daily administrative tasks
  • Diary management, forward planning, email and communication management
  • Screen emails and telephone calls
  • Organising meetings and logistics - room, materials, clients, meeting reconfirming, refreshments etc
  • Booking travel as required
  • Interpret instructions and issues arising and then implement actions appropriately
  • Approve decisions, requests, expenditure and recommendations on behalf of your executives in their absence, according to agreed guidelines
  • Handle a wide range of sensitive, confidential and high-profile correspondence and records with tact and discretion


Skills Required:

  • Previous senior or executive level PA experience is essential, ideally gained within in a multinational company
  • Experience of supporting mulitpul executives at any one time
  • Solid communication skills, with excellent command of written and spoken English is essential
  • Great interpersonal skills, with emotional intelligence
  • Strong organisational skills, able to deal with a fast-paced environment
  • Ability to interact with both internal and external executive level individuals
  • Extensive experience of working with Microsoft packages including: Word, Excel, PowerPoint and Outlook
  • The ability to work to tight deadlines and adaptable to working in a fast paced ever changing environment
  • Ability to work on their own initiative, solving problems as necessary
  • High level of integrity and confidentiality with strong attention to detail
  • Excellent organisational and time-management skills with a high attention to detail
