The Respiratory Medicine and Palliative Care directorate has an exciting opportunity to join the diverse and friendly admin team as a Deputy Admin Manager. The forward-thinking and developing department incorporates new and exciting areas of interest including lung cancer, sleep, interstitial lung disease, emphysema, cystic fibrosis, oxygen, COPD, tuberculosis; as well as a vibrant outpatient department, respiratory investigation unit, lung function lab and a large inpatient footprint, all innovated collaboratively between the clinical, nursing and administrative teams. The successful applicant will provide support to the Administration Manager with the smooth running of the departments and line management of the A&C staff as well as assisting with the implementation and management of all quality standards and management systems.  We are looking for a proactive and motivated individual with excellent communication, organizational and interpersonal skills.

Duties will include: -



  • Support the Administration Manager’s to provide a full range of management activity for staff, e.g., recruitment, training, rosters, PDPs etc.

  • Day to day management of A&C staff including overseeing workloads and implementing effective working practices.

  • Deputise in the absence of the Administration Manager to provide front line A&C support.

  • Providing flexible support to cover absence when required.

  • Be responsible for the management of specified clerical functions within the Directorates.

  • Support the Administration Manager’s and Operational Manager in the implementation of the department’s vision and strategy.

  • Investigate and answer any complaints that may arise from areas of responsibility.

  • Support the Administration Manager in their role as Data Quality Lead.

  • Ensure there is adequate administrational, secretarial and clerical staff within the Directorates. This will include organising rosters, approving and covering annual leave.

  • Supporting the Administration Managers in the recruitment and retention of staff.

  • Supporting the Administration Managers to manage sickness and absence in line with Trust policies.

  • Supporting the Administration Managers in ensuring Personal Development Plans for A&C staff with the Directorates. Including the identification of training needs and arranging appropriate training for staff in line with the Trusts training plans.

  • Supporting the Administration Managers with the Day to day management of the A&C staff, including overseeing of workloads and implementing effective working practices to support the achievement of administrational quality standards, particularly in relation to GP letters and summaries within the Directorates.

  • Assist in the coordination of the elective throughput of the department. To act as a communication interface between the Consultants, Waiting List Administrators and secretarial staff, ensuring that EBUS/Bronchoscopy lists are effectively utilised. 

  • Book and arrange waiting list initiatives in agreement with the Administration

  • In conjunction with the Administration Managers, manage the inpatient and outpatient waiting lists, recognising the local and national quality standards and contractual requirement. Liaising with all parties to ensure that resources and facilities are fully utilised.

  • Investigate and answer any complaints that may arise from areas of responsibility.

  • In conjunction with the Administration Managers, manage the clerical staff non-pay budget in line with the Trusts standing financial instructions.
