We have a fantastic new opportunity to join us as a Team PA, t o provide full secretarial and administrative support to the UKI Senior Leadership Team and cover for the Executive Assistant as and when necessary.

Key Responsibilities

The Purpose of the Role:

  • Diary and email management.
  • Dealing with incoming email, and post, and corresponding on behalf of the Director.
  • Drafting responses for the Director to customer letters and emails.
  • Acting as gatekeeper for pre-screening all internal and external queries, whether these are calls, post and/or emails and the use of own initiative to respond where possible and/or appropriate ;
  • Organising internal/external meetings.
  • Preparation of documentation, presentations and agendas for internal and external meetings.
  • Compiling documentation, ensuring distribution in a timely manner .
  • Providing meeting support, including coordinating diaries, booking rooms, hospitality etc.  
  • Attending meetings as appropriate  in order to  take minutes and ensuring all actions are accurately recorded and followed up.
  • Arranging travel (domestic and international) including flights, trains, hotels, visas, car transfers, ordering of currency etc ensuring the Director is fully aware of the itinerary. 
  • Providing a level of support for Director's team, including meeting coordination, diary management, holiday tracking etc.
  • Ensuring expenses and invoices are monitored and checked in line with Company policy before signing off and processing by the Director.
  • Reconciliation of corporate credit card statement, compilation of expenses & business mileage.
  • Liaising on behalf of the Director with all levels of management and customers.
  • Devising and maintaining both paper and electronic office filing systems.
  • Managing projects, carrying out background research and presenting findings.
  • Always maintaining confidentiality and strict prioritisation of tasks
  • Raising and approving of PO's on behalf of the Director & SLT as required .
  • Any other relevant tasks as required by the Directo

Location:

This role is based in Nuneaton, and may be occasionally required to travel to our London Hub or to any other location of H&B. We support flexibility and productivity of our employees by hybrid working arrangements with minimum 2-3 days presence in the office.

Key Requirements

  • Previous experience of working at Director level (ideally a minimum of 3 years' experience required).
  • Competent in the use of Outlook, Excel, Word and PowerPoint.
  • Highly organised with excellent attention to detail and a strong work ethic.
  • Flexible approach with the ability to multi-task and work on own initiative, re-prioritising workload as appropriate.
  • Ability to work under pressure and to tight deadlines.
  • Discretion & Confidentiality.
  • Ability to build strong working relationships with stakeholders.
  • Confidentiality when dealing with sensitive information.
  • Good team player.
  • Honest and reliable.
  • Ability to communicate effectively with various levels of the organisation both internally and externally.
