Summary

Our team is looking for an efficient and detail-oriented Project Administrator to support the Project Management team with administrative tasks. You will play a vital role in managing smaller projects and assisting with the coordination of larger initiatives. This position is ideal for a skilled administrator who excels in organisation and communication, has experience managing project documentation, and can support the team on various calls and meetings.

Key Responsibilities

  • Administrative Support: Assist the Project Manager with all aspects of project administration, including scheduling, time sheet management, and preparing weekly status reports.
  • Task Management: Join stand-up meetings, taking accurate minutes and ensuring that key points are translated into actionable tasks within JIRA.
  • Otter AI Management: Work with Otter AI tool to capture meeting notes and transfer tasks into JIRA for tracking and accountability.
  • Team Assistance: Join calls with team members as needed, providing additional support and managing routine project follow-ups.
  • Reporting: Provide regular updates and reports to the team and senior stakeholders, ensuring transparency and tracking of all project activities.

Ideal Candidate Profile

  • Experience: Strong administrative background, ideally in a project coordinator or similar role.
  • Skills: Excellent organisational abilities, strong written and verbal communication skills, and attention to detail.
  • Technical Tools: Familiarity with JIRA or other project management tools; experience with Otter AI is a plus.
  • Approach: A proactive team player with the ability to manage routine tasks while being adaptable to the dynamic needs of the project team.
