Key responsibilities

  • Provide a strategic overview of all programmes and projects, reporting inconsistencies or areas of concern to the PMO Assurance Manager.
  • Effectively problem solve project management queries on PMO processes and standards.
  • Evaluate and implement PMO process improvements to improve delivery quality and efficiency.
  • Facilitate accurate inputs into governance boards, collating reliable data which can be used to make informed decisions and drive improvements.
  • Analyse project performance data, identifying trends, risks, opportunities and threats.
  • Initiate reviews of post-programme and post-project evaluation reports and benefits to ensure strategic goals have been enabled/ met.
  • Coordinate stage gate reviews ensuring information is available in a timely manner and at the required quality.
  • Collate an aggregated analysis of gated reviews to the Portfolio Management Group.
  • Examine, track and facilitate completion of post stage gate actions to ensure key items are delivered on time and to the required quality.
  • Develop portfolio stakeholder communications ensuring timely delivery and effective messaging.
  • Develop and implement consistent standards and procedures.
  • Implement guidelines, processes and templates to collect and maintain consistent data and provide hands-on delivery support to programmes and projects.
  • Develop and manage document control procedures to cover baseline management, controlled issue of master documents, version control, document history and distribution lists.
  • Undertake configuration audits of the PPM Tooling repository.
  • Conduct health checks throughout the project delivery lifecycle, monitoring performance, gathering relevant data and producing statistical reports.
  • Identify and report deviations and trigger exception reports when projects exceed tolerance levels.
  • Manage the project change control process, providing advice, guidance and support to delivery teams.
  • Examine programme and project change control registers across the portfolio to look for common themes and establish consistent resolution strategies.
  • Support project delivery and mitigation of risks to ensure key risks and issues are managed.
  • Establish consistent quality practices and standards across all PMO services.
  • Manage the delivery reporting cycle, chasing information when required and challenging the quality of data.
  • Build and maintain an information base of trend data for programme and project reporting.
  • Collaborate with stakeholders within PDS and across Policing and the Home Office to build strong working relationships.

Key criteria

  • Extensive experience in a PMO Analyst role.
  • Excellent knowledge of project management methodologies, tools and best practice.
  • Experience in analysing, reporting and monitoring delivery status.
  • Understanding of portfolio management.
  • Strong analytical skills to gather, interpret and present data on portfolio performance.
  • Demonstrated experience of building strong working relationships, engaging and influencing stakeholders.
  • Demonstrated experience of driving continuous improvement within a role, having a solution-focused attitude and excellent communication skills.
  • Proven ability of working autonomously and managing own workload to meet deadlines.
  • Demonstrated experience of being a forwarding thinking, proactive individual with the ability to anticipate and act on future requirements.
  • Ability to build strong working relationships across stakeholders at all levels within PDS.
  • Strong problem solving and team working skills with demonstrated experience of driving adherence to PMO standards.
  • Experience in working with tools and applications (Excel, SharePoint, Power BI, Project Online, PowerApps).
