The Role
We have an exciting opportunity for a Operations Coordinator to join the JFD team in Westhill, Aberdeen.
The successful candidate will join the Commercial Diving and Hyperbaric team. You will organise of all customer orders which come through from our sales department.
You will follow the orders from when the quote becomes a sales order to the invoicing and export and import clearances.
You'll work closely with other business departments such as Production, Supply Chain, Quality Control and Engineering to ensure that order deadlines are met.
Role Accountabilities
- Ensure all shipments are invoiced and shipped in an accurate and timely manner.
- Timely reports to customers on their order updates.
- Maintenance of Order Book records; keeping track of production and supply of orders.
- Maintenance of Exports and license records; Ensuring items that require appropriate licenses are dealt with in the correct manner.
- Maintenance of internal reports; to help support other business departments and management.
- Processing and maintenance of all export and import procedures; from start to finish of orders.
- Obtaining shipping quotes as requested and organising shipping as per customers’ instructions ensuring all relevant shipping and order documentation is maintained.
- Liaise with supporting departments in achieving objectives; Production, Purchasing, Supply Chain, Engineering and Sales.
Knowledge, Qualifications and Experience
- Computer literate with strong Microsoft package knowledge.
- Excellent verbal and written communication skills.
- A keen eye for detail.
- Ability to work under pressure to achieve restrained deadlines.
- Strong organisational skills.
- Ability to work as part of a large team and on your own initiative.
- Knowledge of the Manufacturing and Supply chain processes preferred.
- Interpersonal skills with a customer focused approach preferred.
- Demonstrable experience in customer service preferred.
- Business System knowledge preferred.
- UK and International Logistics knowledge preferred.
- Export control experience preferred.
- HMRC exposure preferred.
- DGM exposure preferred.
