Job Overview
This role provides proactive administrative support to BSI’s Loughborough Product Certification Testing Laboratory, ensuring efficient operations and excellent customer service to help achieve laboratory business objectives.
Additionally, it supports the Health, Safety, Environment, and Wellbeing (HSEW) functions by assisting with the day-to-day management of HSE activities and maintaining established management systems within the Product Certification Testing Laboratories.

Job Overview
This role provides proactive administrative support to BSI’s Loughborough Product Certification Testing Laboratory, ensuring efficient operations and excellent customer service to help achieve laboratory business objectives.
Additionally, it supports the Health, Safety, Environment, and Wellbeing (HSEW) functions by assisting with the day-to-day management of HSE activities and maintaining established management systems within the Product Certification Testing Laboratories.
Key Responsibilities
General Administration Support:
- Manage site-specific administration requests via Admin Inboxes.
- Assist with general administrative tasks and projects, including data entry, spreadsheet management, and document formatting.
- Perform general office tasks, such as filing, laminating, and procuring stationery.
- Support the Product Certification teams in onboarding suppliers and subcontractors for Product Certification activities, ensuring compliance with procurement processes.
- Act as a Basware Superuser and SAP Superuser, updating finance portals to enhance business efficiency.
- Manage reception duties, including signing in visitors and contractors.
- Oversee the room booking system and coordinate catering for larger meetings.
- Support the administration of established HSE management systems to maintain compliance with BSI certification standards.
- Assist in managing the adverse event and incident process, including data entry, obtaining reports/forms, and following up with key stakeholders.
- Support the Risk Assessment, COSHH Assessment, and Safe Systems of Work (SSOW) databases, ensuring compliance, formatting documentation, and updating data.
- Assist with HSE processes, such as Permit to Work (PTW) and Lockout/Tagout (LOTO).
- Maintain and update Corrective Action Registers and Compliance Action Plans, tracking timelines and storing compliance documents digitally.
- Support compliance documentation management, including but not limited to LOLER, DSEAR, Legionella, and PUWER.
- Collect and analyse energy resource data for Site Energy Reviews.
- Conduct stock checks for emergency containers, including first aid kits.
- Assist with HSE procurement and the digitalization of documentation.
- Support the HSE Manager in managing subcontractors and visitors, including training coordination.
- Assist in onboarding, scheduling, and coordinating external training courses (e-learning, off-site, and on-site).
- Take and distribute meeting minutes for key HSE meetings to support management systems.
- Assist Product Certification teams with procurement-related tasks via relevant portals.
- Support the HSE Manager in tracking compliance actions and following up with stakeholders to maintain HSE compliance.
- A recognized administration qualification or 5 years’ experience in an administrative role.
- GCSE English (Grade C+/Level 4) or equivalent.
- GCSE Mathematics (Grade C+/Level 4) or equivalent.
- Full UK driving licence.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint, Teams, Outlook).
- Ability to compile and present clear, structured reports.
- Strong team player with excellent communication skills.
- Effective work prioritisation and time management.
- Positive, can-do attitude with a proactive approach.
- Willingness to travel occasionally to other BSI locations.
- Strong organisational skills to manage workloads efficiently.
- Flexible and adaptable to changing work demands.
- Strong team-oriented mindset.
- Experience in Health & Safety (H&S) administration.
- Background in office administration, with an interest in developing HSE knowledge.
- Basic understanding of finance systems.
- Project management skills.
- Proficiency in MS Visio.
- A desire to develop a career within HSE functions.
