We are seeking a highly organised and proactive Executive Assistant to join our Outsourcing team. The ideal candidate will be responsible for a variety of administrative tasks, ensuring the smooth operation of our national business and supporting our senior team and clients. This role will be based out of our Newcastle office.

We are seeking a highly organised and proactive Executive Assistant to join our Outsourcing team. The ideal candidate will be responsible for a variety of administrative tasks, ensuring the smooth operation of our national business and supporting our senior team and clients. This role will be based out of our Newcastle office.
You'll make an impact by:
- Creating and managing opportunities in Citadel client risk management system, pipeline reporting, including monitoring opportunities and their expected close dates.
- Preparing and updating proposals in PowerPoint that are not supported by the Bid team and drafting Letters of Engagement (LoEs).
- Arranging calls and booking meeting rooms, organising events and managing meeting agendas.
- Taking and distributing meeting minutes (e.g., Virtual Risk Group).
- General admin support including booking travel, distribution of bills, managing various rotas, maintaining organisational charts and processes library.

- Experience working in a similar role.
- Excellent communications skills and strong team working ability.
- Demonstrate experience in using MS Word, MS Excel, MS PowerPoint and related programmes.
- Ability to manage multiple tasks simultaneously, solve problems, manage and meet deadlines, demonstrate attention to always detail and maintain a high quality of work.
- Proficiency in Microsoft packages including Word, Outlook, and advanced Excel.
- Forward looking thinker, who actively seeks opportunities and proposes solutions in a timely manner.
