Description

The Scottish FA is looking for an Event Accreditation and Operations Officer who will support the Safety and Operations Manager with the coordination and smooth implementation of accreditation operations across the venue as well as providing general day to day support to the Stadium Operations department.
With previous experience in an accreditation or access management role in stadia or event management, the ideal candidate will be self-starter, comfortable working collaboratively to achieve results. They will support management in the implementation of a new Accreditation system, therefore having some project management skills would be preferred. Mostly though, they will demonstrate excellent time management, organisational and interpersonal skills.
The Scottish FA operates a hybrid working model, however this role will involve working evenings and weekends as the event schedule dictates, therefore flexibility will be required.



Key Responsibilities

· Lead the data management and operational delivery of accreditation for a variety of Stadia events including but not limited to football matches and concerts
· Take part in site visits and work alongside the stadium operations team to ensure smooth implementation of accreditation procedures for each event
· Assist in the planning and implementation of the accreditation process for all events ensuring all those involved have the correct access to zones within the venue footprint
· Responsible for pass production using the accreditation system and dedicated printers
· Responsible for the delivery ofaccreditation processes for all events including data collection, distribution, and issue resolution
· Manage stock levels of consumables to ensure quantity levels are sufficient to provide accreditation for scheduled event calendar without issue
· Responsible for event day accreditation distribution including manning the accreditation centre and assisting stakeholders with additional or replacement requirements on the day
· Act as a key liaison with stakeholders (stadium partners, contractors, media, suppliers and other departments) to ensure that appropriate accreditation is issued to approved persons. This includes communicating and documenting relevant timelines for all contractors across all client groups
· Effectively collect and manage data for accreditation ensuring procedural adherence, quality control, management, and timely delivery in accordance with the correct processes and procedures
· Liaise with external contracted providers by providing support and guidance for the submission of accreditation applications to the Accreditation System including system training where required
· Coordinate scanning operations and roll out during the year and the lead up to events
· Support the Stadium Operations Team in the planning process, ensuring the requirements of the event are captured and integrated into the planning process
· Assist the Stadium Operations Team in guaranteeing all necessary documentation is produced on time and to the required standards. Ensure documentation is received within the correct timeframe for submissions to the Safety Advisory Group & relevant stakeholders
· Assist the Stadium Operations Team at meetings and site visits as required
· Provide administrative support to the Stadium Operations depts if/when required
· Promote and embrace a culture of continuous improvement whilst demonstrating the Scottish FA values
· Liaise as necessary with internal stakeholders, partners and service providers to meet all operational requirements and contractual obligations.
· Co-ordinate arrangements and inform the necessary people of all the safety team and event meetings
· Administering Purchase Orders, tracking orders, GRN processes and invoices
· On the day event management assistance
· Monitoring and management of Stadium info mailbox
· Complaint management
· Assist with resident liaison via letter and Mailchimp systems
· Arranging meetings and minute taking as required


Any other reasonable duties as requested from time to time from the Stadium Operations management team.
