Location: Burgess Hill or York Office (HYBRID) - with travel across sites as required
Salary: £45,000 - £49,000 per annum DOE
Hours: 35hrs per week

MAIN PURPOSE:
To review current digital care record management and lead on a programme of continuous improvement and innovation of the digital care records system across the organisation, ensuring it meets clinical, safeguarding, regulatory compliance, operational needs and reflects the lived experience of those using the system. The role will manage project delivery, stakeholder engagement, and system optimisation to support high-quality care and regulatory compliance.
MAIN TASKS AND RESPONSIBILITIES:
• To review current digital care record management system implementation and utilisation and make recommendations for amendments.
• Lead the full lifecycle implementation of the digital care record management system, from initiation through to go-live and post-implementation support to services not yet on the system.
• Develop and maintain comprehensive project plans, including timelines, milestones, and resource allocation.
• Define and track benefits realisation metrics to evaluate the impact of new upgrades, modules that are being implemented
• Act as the primary liaison between the organisation, digital care record management system representatives, and internal stakeholders.
• Facilitate workshops, training sessions, and feedback loops with staff, volunteers , and People We Support to ensure system design reflects user needs.
• Review current system implementation within services and develop plan for changes required within services.
• Oversee system configuration, data migration, testing, and integration with existing platforms across all remaining services.
• Ensure the digital care record management system complies with GDPR, all UK Health & Care regulators’ standards, and safeguarding protocols.
• Identify and manage risks, issues, and dependencies throughout the programme lifecycle.
• Lead change management activities to support staff adoption and minimise disruption.
• Monitor and report on KPIs, user satisfaction, and implementation outcomes.
• Continuously develop professional knowledge and expertise, attending and participating in learning and development events, meetings, conferences, and events (as requested/approved by line management) to ensure up to date knowledge relevant to the role
• Attend and participate in regular team and other meetings, both internal and external
• The post holder will be expected, at all times, to be familiar and comply with the written policies, procedures and guidelines for good practice, issued by Brainkind
• Take personal responsibility for own health and safety and report incidents and potential hazards, as necessary.
ABOUT YOU:
- Demonstrable experience in leading digital system implementation in health or social care settings. Demonstrable experience in stakeholder engagement and cross-functional team coordination.
- Act as system administrator and lead on liaison with system provider.
- Project Management Qualification - Project management skills (Prince2, Agile, or equivalent). Or other Relevant Project Management Qualifications / Training.
- Previous Digital system Project Implementation & delivery experience.
- Awareness and understanding required to carry out the role. This may include understanding and knowledge of needs of people supported with LD/Autism, Neurological conditions/ Acquired Brain Injury and other associated disabilities. Awareness of Health & Social Care Legislation & Regulatory requirements.
- Knowledge of safeguarding, compliance, and data protection in care environments.
- Excellent communication and problem-solving skills. Experience delivering digital transformation in regulated environments.
- Develop & deliver training / guidance to a host of audiences and in different ways (Face 2 Face, webinars, developing videos for staff to use.)
- Proficient IT skills including Microsoft 365, Teams, Co-pilot, and the ability to navigate software applications.
- An understanding and commitment to Equality, Diversity & Inclusion and an alignment to Brainkind values.
- Management & Leadership skills & Experience e.g. communication skills, motivation, persuasion, Influencing skills, flexibility, commitment and appearance.
- Ability to translate technical language for non-technical audiences.
- Ability to travel across UK to visit services is essential.
- Travelling requirements / driving licence.
