About The Role
The Administrative Person will provide comprehensive administrative support to the Substation Capital Development Teams, which consist of five teams and a total of approximately 70 team members. This role is pivotal for organising governance meetings at the portfolio and cross-functional level, coordinating with direct stakeholders, managing key governance documentation such as Project Execution Plans and Change Control processes, and coordinating training requirements.

A competitive starting salary between £26,757.00 – £29,116.50 dependent on capability.
As well as your base salary, you will receive a bonus based on personal and company performance and a competitive contributory pension scheme where we will double match your contribution to a maximum company contribution of 12%. This role is pivotal for organising governance meetings at the portfolio and cross-functional level, coordinating with direct stakeholders, managing key governance documentation such as Project Execution Plans and Change Control processes, and coordinating training requirements.
What You'll Do
Governance Meeting Organisation
- Schedule and coordinate governance meetings at the portfolio and cross-functional level.
- Prepare agendas and distribute meeting materials in advance.
- Record minutes and action items during meetings and ensure follow-up on outstanding actions.
- Arrange and take minutes from several working groups.
- Liaise with direct stakeholders to gather input and feedback for PEP and change management documentation.
- Facilitate communication between teams and stakeholders to ensure alignment for PEP and change control requirements.
- Assist in the preparation and maintenance of Project Execution Plans, ensuring all documentation is up-to-date and accessible.
- Manage Change Control documentation, including tracking changes and ensuring proper approvals are obtained.
- Track and gate keep multiple internal governance processes.
- Identify training needs for team members and coordinate training sessions.
- Schedule training events, manage registrations, and track attendance.
- Maintain records of completed training and certifications.
- Organise team-building activities, training sessions, and workshops.
- Coordinate logistics for external meetings, including venue selection and catering.
- Arrange travel logistics for team members, including booking flights, accommodations, and transportation.
- Prepare travel itineraries and ensure compliance with company travel policies.
- Draft and distribute internal communications, newsletters, and updates.
- Maintain team calendars and ensure all members are informed of important dates and deadlines.
- Develop and distribute surveys to gather feedback from team members and stakeholders.
- Compile and analyse survey results to inform decision-making.
- Support the development of reports related to project status, governance meeting outcomes, and stakeholder feedback.
- Maintain tracking systems for project milestones, deliverables, and governance actions.
- Provide general administrative support to the Substation Capital Development Teams, including scheduling, correspondence, and filing.
- Assist in the onboarding of new team members and provide orientation on administrative processes.
- Identify opportunities for process improvements within administrative functions and governance processes.
- Implement best practices for documentation and meeting management.
- Strong organisational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience in project management or administrative support roles, preferably in a utility or engineering environment.
- Ability to work collaboratively in a team-oriented environment.
