The position, Inside Sales Representative, is a key role in the business and responsible for ensuring quick and accurate parts quotation, parts order delivery while ensuring a high level of customer service at all times. You will work with multiple stakeholders across the business to ensure not only timely and accurate quotations but manage effective inventory levels to ensure the parts are available along with an understanding of the shipping process to highlight any compliance restrictions. 


Monitoring and communicating status of confirmed sales orders is a critical aspect of this role. Regular monitoring to ensure any issues are highlighted and dealt with early in the process is a key element to the role. Assume lead role as the focal point between manufacturing/planning and sales personnel to ensure efficient updates are obtained and delivered to those that require them.


DUTIES AND RESPONSIBILITIES



  • Reviewing and responding to all quotation requests in a timely fashion, ensuring all compliance, legal, certification and shipping detail is complete and accurate, and ensuring detailed information is given on lead times and managing the throughput of orders to ensure on time delivery.

  • Creating Sales Orders upon receiving Purchase Order and ensuring a clear line of communication is kept with the customer until the order has been fulfilled.

  • Responsible for co-ordinating delivery/pick up in line with the shipping/warehouse departments.

  • Working with the relevant intercompany departments in Aberdeen and abroad on technical/systems orders and working with the US Order Fulfilment Group to ensure weekly shipping console's include the correct items to fulfil outstanding orders.

  • Preparing invoices for sold goods and assisting where necessary on late payment of goods, customer terms and conditions and customer discounts.

  • Establishing, maintaining and developing relationships with customers, taking the time to visit key customers when necessary to ensure their requirements are being completely fulfilled and uncovering any further business that may be possible for both externally and internally NOV customers.

  • Participating in Sales Team activities, helping with sales forecasting, customer relationships and maintenance/development of sales. Work closely with Sales department to identify and follow up on spares orders.

  • Monitoring and managing inventory levels ensuring the optimum amount is held to satisfy quick deliveries for customers and avoiding overstock/excess/surplus inventory situations.

  • Acting as a liaison with Customers, other Divisions and Departments to resolve any technical issues relating to spares.

  • Communicating with Customers on all information affecting their orders.

  • Working with the management to produce necessary metrics, plans, forecasts and financial reports. Document any Customer complaints and ensure any issues are resolved in a timely manner.

  • Preparing weekly, monthly, quarterly and yearly sales reports.

  • Working with the Admin team to support Rentals, Service and other functions.


QUALIFICATIONS



  • Good standard of high school education (essential)


EXPERIENCE 



  • Working knowledge in a similar position (essential)


SKILLS, TRAINING OR SPECIAL KNOWLEDGE



  • Computer literacy (including good command of Microsoft Excel, Word and Outlook) (essential)

  • Working knowledge of ERP systems (essential)

  • Working knowledge of shipping (essential)

  • Working knowledge of financial reporting (desirable)
