Key Responsibilities
Debt Management
Debt Management
- Monitor and maintain client accounts throughout the debt collection process.
- Issue debt letters and follow company procedures to recover overdue payments.
- Communicate with clients via phone, email, and messaging platforms regarding outstanding balances.
- Liaise with branch and reception teams to ensure up-to-date account information.
- Identify and prioritise small to mid-level debts for timely resolution.
- Categorise and manage various debt types (e.g. bad debt, direct claims pending, promised payments).
- Work through aged debt reports and support the resolution of longstanding accounts.
- Submit insurance claims and manage remittance allocations.
- Process payments and issue refunds as needed.
- Collaborate with colleagues to respond to insurance-related queries.
- Reconcile accounts related to charity partners.
- Deliver training to new starters on debt and insurance processes.
- Serve as a key point of contact for debt-related enquiries.
- Provide cover on reception during staff absences.
- Support MHP (Medivet Healthcare Plan) debt management alongside the wider team.
- Ensure a smooth handover between day and night teams by preparing the practice at opening and closing.
- Handle incoming calls, emails, and client enquiries in a professional and empathetic manner.
- Triage emergency appointments and reschedule clients as needed.
- Perform standard reception duties including greeting clients, restocking, and maintaining a clean front-of-house.
- Manage till operations and card transactions.
- Promote the Medivet Healthcare Plan and assist clients with sign-up documentation.
- A confident communicator, comfortable speaking with clients in person and over the phone.
- Previous experience in an administrative, accounts, or customer care role preferred.
- Strong attention to detail and the ability to manage multiple tasks efficiently.
- Calm under pressure, especially in sensitive financial or emergency situations.
- A team player who enjoys working in a collaborative environment.
