Key Responsibilities:

  • Key account admin for large security contracts
  • Finance link to help with all aged debt
  • Administration Support to admin team
  • Support in customer meetings for service-related queries
  • To provide smooth running of all reporting both internally and externally
  • Managing service stats / outstanding calls / further actions / SE follow ups
  • Managing Internal dashboard
  • Billing production to include daily invoicing, renewals and consolidated invoices, manual invoicing through Job-costing for service and installation teams.
  • Reporting to senior managers
  • Dedication and accountability for customer portals - Overseeing all account portals working with Admin on SLA
  • Develop long term relationships with internal and external teams.
  • Managing cost analysis with head of department - ensuring all external costs for monitoring are billed out in a timely manner
  • Cross functional teams
  • To support sales teams in smooth running of your accounts

Key Duties:

  • Overseeing all account admin duties to ensure reaching SLA/KPI in place
  • Costing and closing of all call daily with team and owning the numbers
  • Dashboards Analyst
  • Management of cash and keeping records updated
  • Billing production via customer portals
  • Ensure all sites set up correctly for invoicing.
  • Daily management of portal and internal customer dashboards
  • Track open calls and work with Service to ensure our service levels are met.
  • Make sure all portals being used correctly.
  • Correct/accurate postings to cash.
  • Exception reporting / Held invoicing / Calls outstanding / Consolidation / Sites no charges / schedules / site sign off.
  • Manage open purchase orders with procurement.
  • Sales and Service admin

Qualifications and Skills:

  • PC literate, word, excel, capable of working on in house systems.
  • Credit Controller experience
  • Experience of working in the electronic fire and security industry would be of benefit but is not essential.
  • Experience in projects administration desirable
  • Experience in sales administration desirable
  • Experience in delivering client focused solutions based on customer needs.
  • Proven ability to manage multiple projects new contract wins.
  • Ability to prioritize.
  • Excellent time management essential
  • Keen attention to detail and adherence to deadlines
  • Previous experience of working in a busy office environment would be of benefit - working to strict deadlines, providing excellent customer service both internal and external is critical.
  • Candidates should be able to demonstrate good administration/organisational skills along with the skills to adhere to procedures with the flexibility to accommodate unforeseen ad hoc last minute requests or works
  • Full training will be given where required.
