We are looking for a Scheduling Operations Planner to join our team. This role is responsible for planning and coordinating the working day of trade operatives to ensure all responsive works are assigned efficiently. The position focuses on maximising productivity, reducing costs, and maintaining high standards of customer service, while ensuring health and safety and vulnerability considerations are met.
Responsibilities:
- Manage and oversee multiple diaries, ensuring operatives have optimised schedules with minimal travel time
- Coordinate and schedule repairs, ensuring jobs are allocated to the right trade at the right time
- Deliver excellent customer service by responding to queries and ensuring jobs are completed efficiently
- Handle inbound and outbound calls and emails to confirm appointments, resolve scheduling conflicts, and liaise with operatives, contractors, and residents
- Prioritise emergency repairs and overdue services in line with service level agreements
- Arrange follow-up visits where necessary and coordinate materials, scaffolding, and equipment with suppliers and contractors
- Ensure operatives are aware of flagged properties and customer vulnerabilities
- Maintain accurate records, update job statuses, and generate reports to track scheduling performance
Requirements:
- Experience working in a fast-paced office environment with reactive priorities
- Strong IT skills, including proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Excellent written and verbal communication skills, with the ability to engage with different stakeholders
- Strong organisational skills and attention to detail, with the ability to prioritise tasks effectively
- Ability to work both independently and as part of a team
- Understanding of compliance processes and adherence to legal and health and safety requirements
