Job Overview
Job purpose
To provide a welcoming and efficient reception and administrative service as the first point of contact for Fife Carers Centre.
To support the smooth running of day-to-day office functions by delivering administrative assistance to the wider team, ensuring carers and staff are supported through effective communication and organisation.
Administrative & Office Skills
Word processing, data entry, and document management
Filing, record keeping, and maintaining accurate databases
Managing correspondence and emails professionally
Stock, stationery, and petty cash management
Organising meetings and events, including room setup and refreshments
Communication & Interpersonal Skills
Professional telephone and face-to-face communication
Dealing with enquiries and directing people to the right services
Supporting carers and staff with empathy, discretion, and confidentiality
Professional Development & Personal Skills
Time management and prioritisation of tasks
Teamwork and working collaboratively in a busy office
Problem-solving and responding effectively to unexpected situations
Understanding of GDPR, data protection, and working ethically
Gaining confidence in a professional environment
Qualification-Based Skills
Working towards and completing SVQ Level 2, achieving measurable milestones
Developing transferable skills that can be applied in future administrative or office-based roles
A minimum of National 5s in relevant subjects, including English and Mathematics (or equivalent).
No prior office experience is essential, but any volunteering, part-time work, or school/college experience working with people or in an organisational setting is helpful.
