Reporting to: Business, HR & Office Manager

Hours: 35  (8:30am – 4:00pm includes 30 minutes unpaid break)

Responsible for: Reception Volunteers

Location: The Beehive Resource Centre

                                   

Annual Leave: 25 days annual leave plus bank holidays (including 3 days mandatory holiday over Christmas) plus bank holidays.


Leave entitlement increases by 1 day per year of service (up to 30 days).

This role is a great opportunity for someone who’s keen to learn and grow while doing meaningful work. You’ll be part of a supportive team, get involved in a variety of projects, and be a friendly face at the Beehive Resource Centre, welcoming visitors and helping keep everything running smoothly. You’ll gain hands-on experience across several areas including:


·  Welcoming visitors and providing friendly front-desk support.

·  Helping out with admin tasks to keep the team running smoothly.

·  Getting involved in marketing and sharing our story through social media and other channels.

·  Managing our team of Beehive volunteers to make sure they are valued and supported.

·  Lending a hand with planning and running events. 

 

 

What you’ll be doing: 


Duties: You'll be getting involved in a variety of tasks, including (but not limited to):


· Greeting visitors with friendly smiles and help them find their way around the Beehive Building or connect them with the right services—whether here or elsewhere.

· Give consistent, helpful admin support to different teams across Thurrock CVS.

· Be the go-to person for info and support for all the organisations based in the Beehive Building.

· Keep the reception area looking clean, tidy, and welcoming so everyone feels at ease when they arrive.

· Sort through incoming and outgoing mail, making sure it’s recorded and passed on to the right people.

· Set up rooms for meetings and events—this includes getting refreshments ready and offering basic IT support if needed.

· Build up your digital skills by helping out with website updates, posting on social media, and supporting other online content.

· Team up with the Communications & Infrastructure crew to plan and run fun and engage in marketing activities and events.

· Maintain accurate and up-to-date databases, ensuring member information, enquiries and interactions are recorded consistently.

· Carry out proactive telephone outreach to member organisations to understand their needs and signpost them to relevant TCVS support offers.

· Stick to all Thurrock CVS policies and be open to taking on other tasks your manager might need help with.

· Support and guide reception volunteers, making sure they feel confident in their role and that everything runs smoothly day to day.

· Put together a weekly rota to help keep volunteer cover organised and running like clockwork.

· Pitch in with general office tasks to help the whole team out whenever needed.

 

General:


· Be open to helping out with other reasonable tasks that fit the role—pitching in where needed to support the team.

· Follow Thurrock CVS policies and procedures and take on any extra bits and pieces your manager might ask that suit your role.

·  Get involved in training and development opportunities to keep learning and growing in your role.

Organisational Skills:


·  You're a clear and friendly communicator, both in writing and when chatting with people.

· Comfortable picking up the phone, replying to emails, or helping visitors in person—you handle enquiries with care and make sure the right info gets passed on.

· You like staying organised and on top of things, but you're also happy to switch gears when plans change.

·  Confident using Microsoft Office—especially Outlook, Word, and Excel.

·  Able to take down and record accurate details when speaking with members of the public, whether that’s over the phone or face-to-face.

·  It’s a bonus if you know a bit about social media, websites, or digital tools—but don’t worry if you don’t, we can help you learn!
