Are you an organised and proactive professional with a passion for driving project success? We’re looking for a dynamic Project Support Coordinator to play a key role in the planning and execution of our projects. In this vital position, you'll support project management by organising and controlling day-to-day activities—ranging from gathering and distributing documentation to generating key financial data for budgeting and analysis. You'll also coordinate supplier administration, facilitate project-related meetings, and contribute to the successful completion of third-party audits. This is an exciting opportunity to provide critical administrative support while helping the team deliver on strategic goals.

Project Administrator/Co-Ordinator – Key Responsibilities

This role is dynamic and may vary depending on workload and cover requirements, but typically includes the following core areas:

Project Progress & Reporting

  • Monitor labour attendance and trends (e.g. absence, holidays)
  • Resolve booking discrepancies with supervision and payroll
  • Collect and update weekly/monthly project progress data and reports
  • Support Earned Value data collection and maintain H&S and quality statistics

Project Financials

  • Input labour and third-party costs for customer approval
  • Coordinate signing, scanning, and submission of finance sheets
  • Assist Commercial team with cost variation and delay documentation

Project Support & Administration

  • Prepare project reports using Excel and PowerPoint
  • Maintain team holiday charts and provide cover for colleagues as needed
  • Organise and support project meetings, reviews, and lessons learned sessions
  • Manage time & attendance reporting, training records, toolbox talks, and notice boards
  • Support budget preparation and track third-party spend
  • Liaise with QA for up-to-date documentation and inspection reports
  • Provide admin support for internal/external communication and meeting logistics, including minute-taking and action tracking

Essential Criteria

  • Proven experience in project reporting and compiling high-level reports
  • Proficient in Microsoft Office, especially Excel
  • Ability to read or willingness to learn to read construction/engineering drawings
  • Strong written, numerical, and communication skills
  • Excellent time management, organisational, and administrative abilities
  • Adaptable, proactive, and able to work under pressure to tight deadlines
  • High attention to quality standards and detail
  • Skilled in supporting projects, services, and initiatives with minimal supervision
  • Analytical and problem-solving mindset; understanding of Statistical Process Control (SPC)
  • Customer-focused with professional conduct, including strong phone and email etiquette
  • Ability to assess and meet customer requirements in line with project schedules

Desirable Criteria

  • Familiarity with Health & Safety, Quality, and basic financial/accounting procedures
  • Experience with business processes and improving team collaboration
  • Strong cross-functional collaboration skills with internal departments
