Role Overview
We’re now looking for an Operations Support Assistant to join our team in a support role whereby you'll be providing day-to-day business operations and our assisting our senior leadership. If you’re someone who enjoys being the “go-to” person, loves keeping things organised, and wants to be part of a collaborative team environment, we’d love to hear from you.
What You'll Be Doing
Executive Support
- Provide assistant support to the UK Managing Directors, including diary management and making reservations.
- Schedule and facilitate internal and external meetings, including formatting presentations and offering tech support during pitches.
- Coordinate the booking of national and international travel for senior leaders and client teams.
Operations & Office Support
- Manage subscriptions, renewals, and member additions.
- Process payments and invoices (e.g., Addison Lee, conferencing services).
- Collaborate with the Office Manager to ensure smooth day-to-day running of the Holborn Gate office.
- Act as the first point of contact for IT queries from the team, escalating to IT support as needed.
- Oversee IT equipment ordering and stock, and liaise with IT/third parties on any website issues.
Marketing, Events & New Business
- Oversee HubSpot management to maintain accurate and up-to-date records.
- Support with logistics for external events, including site visits, budget tracking, and working with partners.
- Maintain updated new business assets such as bios, client logos, and case studies.
- Format internal and external documents, including pitches and proposals.
- Use Canva to create or edit marketing collateral for internal and external communications (e.g., invitations, branded content).
People & Talent
- Support onboarding and offboarding processes, including scheduling inductions and probation reviews.
- Assist HR in keeping the staff handbook updated.
- Organise ad-hoc team activities, such as leavers’ drinks and ordering cards, gifts, and vouchers.
- Coordinate internal training programmes and ensure smooth scheduling.
ESG Support
- Gather data and liaise with the group to submit ESG reports
- Work with the ESG group to promote internal initiatives such as Plastic Free July, Zero Waste Week, and sustainability talks.

- You are a problem-solver who stays calm under pressure and can juggle multiple priorities.
- You have excellent attention to detail and pride yourself on accuracy.
- You communicate clearly and effectively with colleagues at all levels.
- You enjoy a varied role and take initiative to keep things moving.
- Previous experience in operations, administration, team support, or office coordination would be helpful.
- You’re familiar with tools like Microsoft Office and Canva (or are willing to learn).
- An interest in communications, marketing, or agency life is a bonus - but attitude is what matters most.
