Ventro, Firntec and LivGreen are an exciting group of companies focused on fire-safety services and net zero retrofit. We are looking for an Operations Support Administrator to support the Operations Support Manager and Project Managers for the organisation and maintain good quality standards for the services provided by Ventro. We are looking for a person with great organisation and time management skills in order to maintain stability within our policies and law processes.

Key Responsibilities:

Prepare and update project documents

Using Ventro associated applications

Monthly review of project meeting notes and TBTs

Create and distribute the Ventro intro letters

Create and distribute the Ventro intro emails

Answer the Tenant Liaison incoming phone calls and help with bookings

Contact residents to arrange bookings, this will be via phone call, email or/and text message

Whilst driving PMs can dictate comments, ideas etc. and Ops support to type and email back to PMs

Whilst driving PMs can use Ops support to fill in Smartsheet requests such as:

Purchase requisitions via Smartsheet using the PM name especially if a site has no site manager

Labour requisition

CVIs

DLO requests

Prepare the project Site Evidence File to send to live sites

Assist with tasks for projects to ensure that they are accomplished on schedule and within budget

Answer incoming tenant liaison and general office phone calls

Tenant Liaison / Resident Liaison Correspondence

Provide Operational support to PMs

Postal Duties and Arranging TNT deliveries

Manage hotel bookings for Ventro

Monitor resident liaison inbox daily

Generate the full Operations & Maintenance manuals when requested at end of project

The successful candidate will:

Be a caring and empathetic individual who understands and supports the needs of a diverse cross section of customers

Have experience of delivering exceptional customer service and will continuously work to provide a customer first culture

Previous administration experience beneficial

Good Communication skills

Driven individual

Work well under pressure

Good organisational skills
