Job Purpose:
The jobholder will work closely across the Operations spectrum in Thame to ensure all documentation is processed and distributed to customers as required. Further inputs will allow for dynamic support to all Thame site departments as surge and work volumes identified.

Job Context:
Working as part of the UK Operations team to ensure planning of customer orders are facilitated and completed to meet monthly targets. As an operations team member, you will engage across all business sectors to ensure challenges are addressed with active end user support.

Job Dimensions:
This is a role based in Thame with standard hours of 07:00 – 15:30 Monday to Thursday and 07:00 – 12:00 on Fridays. These times can be negotiated and amended to suit the individual.

Key Accountabilities:
These will include:
- Raising Requisitions across Operations and Production areas.
- Assist the Operation Manager with ad-hoc duties as and when required.
- Liaise with the purchasing teams regarding deliveries, monitoring and updating purchase order chase list.
- Work with Accounts department to help close out any delivery/invoice queries.
- Improve Stockturn and Inventory content, assist in the reduction of inventory levels through Finance led obsolete and slow-moving stock activity.
- Assist in the improvement of supplier OTIF.
- Scan all product Birth Certificates into online repositories and ensure order accuracy of copies presented.
- Distribute product birth certificates to all customers as required and to deadline.
- Chasing the stores for urgently required deliveries.
- Obtaining VT and CT certs for M-Units to support build program.
- Conducting Inventory checks in support of Production Manager
- Work alongside shop floor departments for product knowledge and counting journal reviews
- Providing administrative support to other departments or projects as needed.
- Monitor and maintain shopfloor Direct Line feed (DLF), Bulk and Kanban systems with all Team Leaders.
Minimum Qualifications, Knowledge, And Experience
- Good knowledge and experience of using Microsoft Office products; word, excel & outlook – Database creation and entry to support internal business requirements.
- English & Mathematics GCSE education level or equivalent.
- Prior administrative experience.
- Knowledge of MS Teams and / or other media platforms.
- Knowledge of IT support media, in particular scanning, copying and laminating assets.
- Knowledge of 8x8 or similar telephone systems.
- Excellent organisational skills.
- Ability to multitask.
- Able to maintain a high level of confidentiality.
- Ability to using own initiative.
- Be honest and reliable.
- Be trustworthy and respectful.
- Able to maintain excellent time-keeping and attendance.
- Be professional at all times.
- Be able to work unsupervised in a busy environment.
- Have a flexible and cooperative attitude.
- Able to remain calm, patient and polite at all times particularly when dealing with difficult customers.
