RPS are seeking an Office Administrator for our Water Consulting team based in Scotland. We are looking for someone to support this busy and vibrant team who will be responsible for ensuring all day-to-day tasks run smoothly.
About The Team
RPS Water Consulting is a team of Engineers, Modellers, and Data Analysts providing Asset Management and Operational Strategy development, to our Water Industry clients to support business planning and delivery. This is an evolving industry, providing challenges and opportunities that require innovation, dedication, and teamwork to help us meet our clients’ needs.
Our Water Consultancy business has a range of prestigious AMP8 programmes leading into AMP9 and beyond, where you’ll be securing your career for the next 20 years, leaving a lasting legacy!
About You
As a valued member of our Water Consultancy Team, your role as an Office Administrator is essential in ensuring the smooth operation of our office and providing top-notch support to both our clients and team. Working closely with our Office Manager, you'll follow established procedures and processes to help deliver a seamless and efficient service that keeps everything running smoothly.
Based in our Kirkintilloch/Stepps office, you'll occasionally have the opportunity to visit our Edinburgh, Glasgow, and Grangemouth offices to support the team during annual leave. This part-time role, working 25 hours per week across five days (Monday to Friday), offers variety and the chance to make a real impact.

Your Responsibilities
- Assist in the office move from Kirkintilloch to Stepps
- Lead, manage and undertake administration duties relating to:
- Safe day-to-day operation and management of the office including reception, visitor management and mailroom activities
- Purchasing and supplier invoicing
- Ordering and managing stationery and staff PPE requirements
- Arranging staff travel and accommodation bookings
- Ensuring compliance with RPS Integrated Management System processes and procedures including Fire Safety Management.
- Assist in fleet management
- Assist booking staff training.
- Management of monthly client invoicing process
- Project-related administration duties in support of project delivery teams.
- Working closely with HSEQ Team and project teams in Scotland to ensure business processes are adhered to and run efficiently
- You will be an enthusiastic and outgoing individual who enjoys delivering an efficient and quality service through collaboration
- Previous office based administrative experience is required
- Experience with Invoicing (supplier invoicing and client invoicing)
- Clear and fluent communication skills, both written and oral
- Ability to provide line management, leadership, coaching and motivation to team members
- Ability to use their own initiative to problem solve
- Excellent IT skills and working knowledge of Microsoft Office applications
- Able to always operate in a confidential manner
- Possession of a full UK driving licence is essential
