The Whittan Group is the largest manufacturer of steel storage products in the United Kingdom. Operating through a number of market leading brands; we design, manufacture and install storage solutions for commercial and industrial environments in the UK and Europe.

We are looking for a Export and Import Coordinator take ownership of a critical role managing global trade operations across our Group, including Polypal UK. The export and Import Coordinator will take ownership of all international shipping and trade compliance activities across the Whittan Group.

Key Responsibilities

  • Produce all export documentation; prepare commercial invoices and collation of packing specs for submission to customers, ensuring high levels of accuracy and attention to detail
  • Pursuing missing documentation or information from customers & internal colleagues to enable completion of documents to eliminate delays and maintain published customer lead times
  • Support OTIF fulfilment by ensuring all overseas orders are despatched/collected without delay, across multiple Group sites, maximising Group monthly revenue
  • Managing and holding Direct Rep Forms, coordinating renewals for both customers and the Whittan group to ensure no lapse in coverage
  • Ownership of the end-to-end export process, ensuring all documentation from Group stakeholders and external suppliers is provided on time and on specification
  • Ideally use of the SAP environment with the ability to navigate the system and understand how export orders should be processed, recognising exceptions and errors and pursuing resolution of the same
  • Production and issue of all reports relevant to the Export function
  • Import reconciliation and collation of import documentation.
  • Review open purchase orders for any overseas vendor to ensure no delays to fulfilment Raising purchase orders to cover export/import related services
  • Renewing our Chamber of Commerce agreement with them to issue us with export certificates
  • Apply for Certificates, like EUR1 and Certificate of Origin via the Chamber of commerce platform
  • Manage and update supplementary declarations on the TSS platform
  • Recognise when mistakes have been made and raise cases to reject these entries and pass on the correct information to resolve the case
  • Maintain a strong relationship with our clearing agent to bring material into the country. This includes the movement of containers of material and issuing release letters for shipping agents to clear and collect containers on our behalf
  • Keep up to date with changes to legal requirements and adjust our process and guidance documents accordingly
  • Issue the lead time for material from our Spanish factory based on their lead time and logistics schedule
  • Review and manage loading capacity for individual large orders and loading requirements for each factory per week selling a high-quality manufactured range of storage products such as lockers, cloakroom products, shelving, cupboards, cabinets.

Essential Skills/qualifications/experience

  • Minimum A-C grade Maths and English
  • Basic knowledge of Microsoft office
  • Excellent data entry skills with attention to detail
  • Good Telephone manner
  • Team Player
  • Good time management skills
  • Can multitask and manage/prioritise own workload

Desirable

  • Basic working knowledge of SAP
  • Export and Import experience
  • Holds a full and valid UK driving licence
