The Opportunity

We are looking for an Exhibition Coordinator to play a key role in the successful planning and delivery of exhibitions and events across A-SAFE’s global network. Based at our UK headquarters, the role is operationally focused but demands tactical problem-solving and occasional strategic input. The Exhibition Coordinator is responsible for managing the logistics, materials, and timelines that ensure exhibitions are delivered efficiently, consistently, and cost-effectively. They will support local teams worldwide, oversee our global exhibitions roadmap, and lead a small number of strategic global events from end to end.

The role balances day-to-day delivery with tactical input, contributing to continuous improvement in event performance, cost efficiency, and brand consistency. With oversight of the global events calendar, this person helps the business avoid scheduling conflicts, maximise ROI, and reduce unnecessary spend by championing internal solutions over external builds.

This role reports to the Marketing Channel Manager and is part of the Marketing Channels team, a group focused on delivering impactful campaigns through social media, websites, PR, exhibitions events and marketing automation.

What You’ll Do

  • Maintain and manage a global exhibitions roadmap - clearly mapping what events are happening, where and when - to ensure alignment with market priorities, and to reduce clashes, redundancy, and unnecessary costs.
  • Build procedures to categorise, schedule and align all exhibitions ensuring there is a central governance with regional and local variance
  • Lead the logistical planning and execution for all HQ-owned exhibitions and events and support global sales offices with exhibition kits, product samples, graphics, and marketing materials.
  • Define and manage consistent post-show evaluation processes and report on key performance indicators including lead generation, visitor engagement, and cost per contact.
  • Champion the use of internal modular stand systems and actively seek cost efficiencies across the global exhibitions program by improving scheduling, procurement, and asset management.

What You’ll Bring

  • Proven experience coordinating exhibitions, events, or experiential campaigns (ideally across multiple geographies).
  • Experience in managing a live events calendar and avoiding scheduling or geographic conflicts.
  • Strong project management skills, including use of tracking tools and Gantt-style planning.
  • Confident with budgeting, cost tracking, and negotiating with vendors
  • Organised, structured, and process-driven.
  • Self-motivated and calm under pressure.
  • Hands-on and practical, with a proactive approach to getting things done
  • Able to travel internationally as needed for major events.

We know some candidates hesitate to apply unless they meet 100% of the criteria. If you’re excited about the role but unsure you check every box, we encourage you to apply.
