You will run the CEO’s operating rhythm - calendar, meetings, information flow, and stakeholder engagement, and partner closely with the Chief of Staff to drive leadership cadence, board preparation, and executive accountability.
Key Responsibilities:-
CEO Operating Rhythm
- Own end-to-end calendar strategy for the CEO: prioritisation, gatekeeping, and proactive scenario planning to maximise time on company priorities.
- Prepare the CEO for all interactions (ELT, Board, key customers, investors): briefings, agendas, pre-reads, talking points, and clear decision logs.
- Coordinate travel and logistics for CEO and broader ELT; manage expenses and approvals with discretion and accuracy.
- Coordinate ELT, Leadership Board and Executive Board cycles (agendas, materials, distribution, minutes, actions), working closely with the Chief of Staff; ensure inputs are timely, consistent, and high quality.
- Act as a high credibility interface to senior internal and external stakeholders (Directors, EAs, customers, partners, investors), ensuring professional, timely responses and immaculate document handling.
- Draft and refine executive communications (emails, memos, updates) in the CEO’s voice; maintain confidentiality at all times.
- Maintain a well structured “Executive Office” hub for documents, meeting artefacts, and workflows; implement simple SLAs for responses and approvals.
- Time on priorities: A measurable increase in CEO time spent on strategic agenda vs. reactive or administrative tasks.
- Leadership rhythm health: ELT/Board materials delivered “first time right,” on schedule; actions closed within agreed SLAs.
- Stakeholder satisfaction: Positive feedback from ELT, Board Directors and key external counterparts; prompt, accurate correspondence.
- Significant experience as EA to a CEO or C-suite leader in a high growth, complex environment (scaleup, SaaS or energy sector advantageous).
- Demonstrated experience preparing Board and Exec-level materials, running executive meeting cycles, and coordinating across multiple senior stakeholders.
- Advanced proficiency across Microsoft 365 (Outlook, Teams, OneDrive/SharePoint, PowerPoint, Excel); exceptional written and verbal communication.
- Judgement & discretion: Handles sensitive information with absolute confidentiality.
- Organisation & anticipation: Plans ahead, identifies risks, and solves problems before they surface.
- Influence & relationship management: Builds trust across the ELT and with external partners; represents the CEO with polish and credibility.
- Execution & follow through: Drives actions to closure; establishes simple, visible metrics for responsiveness and quality.
