ABOUT THIS ROLE

We are seeking a highly organised, proactive, and adaptable Personal Assistant to support our executive team. The ideal candidate will have exceptional communication skills, thorough attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires a high level of organisation, professionalism, and discretion, and will assist 3-4 directors within ghd’s management committee.


LOCATION

This role will be based in our Cambridge office (CB21) and we offer a hybrid working pattern of 3 days in the office and 2 days WFH.


JOB ROLE AND RESPONSIBILITIES

Key Responsibilities

Administrative Support

  • Manage executive diaries with conflicting priorities, including scheduling meetings, prioritising meetings & room bookings
  • Creating and owning meeting agendas, and required presentations
  • Management of both internal and external meetings
  • Providing admin support to key reporting lines within the function


Meeting Support

  • Managing meeting itineraries & attendees
  • Taking minutes where required & following up on actions
  • Providing facilitation support – refreshments etc. as required
  • Supporting external guests on behalf of the Director
  • Coordinating team activities & fun!


Invoice Management

  • Raise & process invoices accordingly
  • Seek the required approvals per ghd’s delegation of authority matrix


Travel & Expenses

  • Organisation of travel arrangements on behalf of the director
  • Booking necessary travel; hire car/ train/ flights where needed & accommodation
  • Gaining necessary Visas as required for travel
  • Expenses management on behalf of the director


Communication

  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Facilitate communication and ensure timely responses to approvals and requests.
  • Draft and proofread emails and other communications.


Required Skills AND Experience

Experience:

  • Experience in a fast-paced administrative role is a must
  • Prior experience of personal/ executive assistant is desirable


Skills:

  • Excellent organizational and time-management abilities.
  • Excellent ability to prioritise conflicting priorities
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.
