The Team
You’ll work closely with the Crew Planning Team and report to the Senior Hotel and Travel Officer. As the Hotel and Travel expert for our Crew Duty travel, you’ll ensure our crew have their hotel and transport arrangements booked and communicated in the most cost-efficient and supportive way, always ensuring compliance with legalities surrounding aircrew rosters.
The Role
As Crew Planning Hotel and Travel Officer, you’ll play a vital part in ensuring our crew are where they need to be, rested and ready to deliver great service. You’ll oversee the delivery and maintenance of crew roster travel and hotel requirements, manage the HATS system, and build strong relationships with suppliers. You’ll also support special programmes, ensure compliance with regulations, and contribute to continuous improvement across the team.
Key Responsibilities Include
Ø Overseeing crew roster travel and hotel requirements in line with legal, company, and industrial agreements
Ø Managing the HATS system, approving charges, negotiating rates, and integrating alternative hotel accommodations
Ø Monitoring hotel and transport availability, maintaining excellent relationships with providers, and managing reconciliation and approval processes
Ø Responding to complaints and investigating safety cases related to crew hotel and transport
Ø Managing special programmes such as Government Repatriation and handling immigration requests in collaboration with the Aviation Security Team
Ø Conducting UAT testing on HATS and AIMS systems, and performing monthly invoice reconciliations
Ø Supporting the Senior Hotel & Travel Officer and Crew Planning Support Manager with additional tasks and projects
What We’re Looking For
Ø Detailed understanding of commercial travel or hotel booking systems
Ø Strong analytical and planning skills, with the ability to interpret crew rosters and identify improvements
Ø Team player with excellent communication skills and the ability to work cross-functionally
Ø Customer-focused, self-reliant, and able to take initiative
Ø Cost-conscious with strong financial acumen
Ø Computer literate, particularly with Microsoft Excel (Agresso experience desirable)
Ø Knowledge of Flight Time Limitation (FTL) schemes, Fatigue Risk Management, or other crew compliance regulations, Desirable
Ø Ability to manage a high volume of diverse requests and changing priorities
Ø High level of accuracy and attention to detail

Practicalities
This full-time role will be based in Luton and will be 40 hours per week. We support hybrid working and we spend 60% of our time per month in the office.
