About You

- Curious, analytical and great at solving problems

- Able to undertake a variety of activities with a substantial degree of personal responsibility and autonomy.
- Updating IT systems (Diligent, SharePoint and Legal Workflow tracker) with updates to entities and adding new entities.
- Responsible for statutory filings of all UK companies.
- Liaising with external corporate service providers and directors for day-to-day entity management / requests.
- Updating group structure charts and preparing individual structure charts as required.
- Supporting new entity setups, strike-offs and liquidation processes.
- Responding to ad hoc queries on entity related matters / information.
- Arranging documents for signature/coordinating notary appointments.
- Monthly and quarterly Topco board and committee pack collation – engaging with stakeholders to ensure reports are disseminated in a timely manner.
- Coordination of quarterly and/or annual Subsidiary board meetings (including agenda, minutes and action tracking).
- Raising POs for Cosec related invoices.
- Managing weekly shareholder approvals process.
- Ensuring robust entity files are maintained and updating any relevant trackers.
- Keeping records of filing of key governance documents
- Maintaining global legal and compliance register
- Maintaining KYC files, refreshing KYC documents periodically.
- Preparing KYC packs for review and tracking information.
- Assist with annual reporting cycle, project management of annual/strategic reports, approval of financial statements and filing.

- Ability to connect and collaborate: You’ll be able to share your perspectives constructively and listen openly. Cross functional collaboration is crucial, because we understand that no one team is wholly responsible for building and operating a data centre.
- Educated to degree level
- 3 years + experience in company secretarial role
- Good working knowledge of Microsoft Office, in particular Word and Excel
- Working knowledge of entity management system - Diligent is essential
