Salary: £30,000 - £35,000 per annum

Working Hours: Permanent, Full Time, 37.5 hours per week, Monday to Friday between 9:00am and 5:00pm

Location: Hybrid/ Churchill Hospital, Oxford, OX3 7LE

G4S Facilities Management we have an exciting opportunity for a Commercial Assistant to join our team on a full-time, permanent basis.

We are looking for a hardworking and dedicated individual to provide essential administrative and commercial support across our portfolio of Oxford PFI contracts. This role requires a strong emphasis on maintaining strict adherence to our contractual reporting obligations, as well as prioritizing Health, Safety, and Environmental (HSE) standards. You will be a key contributor in promoting the values of effective communication throughout G4S.

Core Responsibilities

Data Analysis and Performance Management

  • Process Improvement Support: Assist the Performance and Quality Manager in the development, production, and implementation of process improvements and enhancements.
  • Data Interrogation and Reporting: Run and interrogate reports, demonstrating the ability to understand and accurately interpret the meaning of large volumes of data.
  • Trend Analysis: Conduct trend and behavior analysis, creating accurate and actionable insights for management.

Contract Knowledge and Compliance

  • Contract Expertise: Become the primary point of contact for contract knowledge, with specific expertise concerning the Payment Mechanism and service failure events.
  • Variations Management: Manage and execute the complete administrative process for variations across the Oxford PFI contracts.

Stakeholder Liaison and Communication

  • Client Reporting: Lead the preparation and delivery of professional reports for client review.
  • Relationship Building: Establish and maintain strong working relationships with team members and internal/external stakeholders.
  • Documentation: Competently take detailed minutes and notes for both internal and external meetings.

Comprehensive Administrative Support

  • General Administration: Provide comprehensive administrative support to the Oxford PFI contracts, including the compilation of letters, development of the filing system, and the effective management of shared drive materials.
  • Logistics & Office Management: Handle essential office duties such as booking meetings, ordering uniforms & PPE, and arranging parking permits.

Essential Requirements

  • Possesses sound knowledge and operational experience with essential IT systems, including both the Microsoft Suite (Word, Excel) and Google Workspace.
  • Maintains a flexible approach to work and demonstrates strong ability to collaborate effectively as a team player.
  • Essential experience in a proven administrative support role, demonstrating the ability to manage complex tasks and priorities.
  • Highly organised, reliable, and conscientious, maintaining exceptional attention to detail in all work.
  • Able to successfully manage a high volume of work while meeting varying deadlines.
  • Proven ability to compile professional reports and the competency to take accurate minutes and notes
  • Experienced in working collaboratively with individuals at various organisational levels.
