Client Onboarding Assistant

Administrative

THE ROLE

As an Onboarding Assistant working for a successful Suffolk law firm, you will be an integral part of the Compliance function, as a member of our Compliance Onboarding and Administration Team (COAT), helping to process new business, conducting due diligence checks, and maintaining robust systems and controls in relation to our Client Onboarding.

The Variety Of Work To Include

Assisting the COAT Manager by undertaking the following roles:

  • Deal with Client Onboarding tasks on a range of matters, including:
  • Create and add contact/client records to our Practice Management System (PMS), as well as open new matters in accordance COAT procedures;
  • Conducting conflict and sanctions checks and analysing the results of these;
  • Undertaking ID checks on individuals (both in the UK and overseas) and corporates, and analysing the results.
  • Liaise with Partners, Fee Earners, secretarial staff and other colleagues when it comes to completing any of the relevant Client Onboarding tasks.
  • Assist with the closure of matters on our PMS.
  • Undertake other Administrative tasks from time to time, as requested by the COAT Manager.

Otherwise

  • Maintain high standard for client service and quality control;
  • Ensure that all of the above tasks are undertaken in accordance with Anti-Money Laundering, Compliance and other regulatory requirements; and
  • Carry out any other duties commensurate with the purpose of the role, including the performance of duties outside normal working hours when required.

Skills And Experience

  • Previous experience of working in a professional services or law firm environment, preferably with an understanding of Client Onboarding and related procedures (advantageous but not essential).
  • Otherwise, a willingness to learn such procedures and the regulatory and risk requirements associated with the range of services in the legal industry.
  • Ability to manage processes efficiently, with accuracy and attention to detail, and adapt easily to procedural changes.
  • Strong analytical and research skills.
  • Excellent communication skills, written and verbal.
  • Team player adaptable to a fast-paced and changing environment.

HOURS AND SALARY

Working hours are: 8:30am – 5.30pm Monday – Friday.
