Deliver all relevant administrative tasks required to support the operational activity of The Barcode – including Compliance, Finance, Health & Safety, Customer Service, Car Park Operations and Occupier Engagement .

THE ROLE
Deliver all relevant administrative tasks required to support the operational activity of The Barcode – including Compliance, Finance, Health & Safety, Customer Service, Car Park Operations and Occupier Engagement .
What You’ll Do
Responsibilities – The Barcode
- Providing comprehensive administrative support to The Barcode Operations Manager and the Retail Services Manager when required, including, d ealing with customer service issues at the barcode (e.g. Car park payment queries, lost property management, operational queries, general compliments / complaints).
- The administration of the computerised accounts system, ensuring the processing of all purchase orders and invoices for the barcode is timely and accurate, all invoices are authorised for payment and all associated records are maintained within compliance guidelines.
- Consulting with the property accountant to ensure occupier utility recharges for the barcode are processed accurately and in a timely manner.
- Collate relevant car park occupancy/system events and financial data (including third party income streams). Highlight any anomalies and trends to the operations manager.
- Support the process of tracking all property management reporting for the barcode, chase outstanding reports and action points as directed ensuring 100% compliance.
- Having a good understanding of your role within the company’s health and safety policy and the resultant requirements for the barcode, including evacuation procedures in the event of an incident.
- Ensure professional and positive relationships with all external companies (including site contractors, occupiers etc) via both telephone and in person.
- Perform additional administrative tasks as required, e.g. Scheduling meetings, dealing with site deliveries, organising travel and accommodation, managing expense returns, updating physical / digital staff communication boards, collating and updating the site travel plan.
- Supporting the marketing team with planning company led events and charity initiatives at the barcode.
- Undertake ad-hoc projects as requested.
- Provide administrative support during holiday periods/absence to the wider management team.
- Build relationships with retailers and drive engagement through the internal comms system ‘BL: comm.’
- Collate and update occupier performance information for reporting purposes (supporting the BL retail services manager)
- Team Player
- Strong organisational skills
- Self-starter, adaptable to work at pace.
- Sophisticated communicator – both verbal and written
- An ability to demonstrate professionalism, discretion, and confidentiality at all times
- Experienced in using all Microsoft Office packages.
