As a Business Support Officer, you will play a pivotal role in ensuring the smooth functioning of our organisation by providing essential administrative and operational support. From managing schedules and tracking projects to coordinating compliance and reporting on performance, this position is perfect for someone who thrives in a fast-paced, mission-driven environment.
Key Responsibilities
Organisational Support
- Provide comprehensive administrative assistance to the CEO and senior leadership, including diary management, meeting coordination, and event planning.
- Prepare and distribute board papers, reports, and presentations, maintaining accurate records of decisions and actions.
- Support day-to-day organisational operations and leadership requirements.
- Coordinate regulatory inspections (RIs) and oversee the completion of compliance checks (e.g., fire risk assessments, gas/electric checks).
- Maintain central records of regulatory reports, ratings, and action plans, ensuring updates are provided to the Managing Director.
- Manage central records for contracts and renewal dates, ensuring confidentiality and accuracy.
- Maintain up-to-date records in organisational databases in compliance with data protection standards.
- Gather performance data from Home Managers, tracking key metrics such as occupancy, fee levels, and financial trends.
- Provide feedback on monthly management accounts, identifying issues or opportunities for improvement.
- Assist in planning and executing strategic projects, ensuring key milestones and objectives are met.
- Prepare reports and presentations for senior leadership.
- Liaise with internal teams and external stakeholders, including partners, suppliers, and auditors, to ensure smooth operations and strong relationships.
- Contribute to operational initiatives to improve efficiency and streamline workflows.
- Identify and implement process improvements to enhance organisational effectiveness.
- Proven experience in providing high-quality administrative and organisational support.
- Excellent communication skills, both written and verbal, with proficiency in Microsoft Word, Excel, PowerPoint, and CRM systems.
- Strong organisational skills with the ability to prioritise tasks and meet competing deadlines.
- Experience in stakeholder management and relationship-building.
- Self-motivated, adaptable, and capable of working independently.
- Experience in project management or operational support roles is highly desirable.
- UK driving license and willingness to travel to sites across South Wales as required.
