The Role & What You Will Be Doing

Every day, we rise to the challenge to make a difference and here’s how the Business Administration Executive role will make an impact:

  • Working with the Established Medicine BU to support the commercial deal administration.. This will include account management support for deal sheet management and monthly deal approval (SharePoint), credit note and invoice processing , Self-Distribution customer data uploads, payment tracker updates and adhoc support for audit request.
  • Manage the administration and distribution of HCP customer communications, including required adhoc product mailings to relevant external stakeholders.
  • Working with the Establish Medicines team as a super user of Viatris procurement and contract management systems and processes (Smart Source and LCM), to manage the procurement process for all suppliers, including creating and tracking financial purchase orders for projects including promotional activities and payments to healthcare organisations and professionals.
  • Organising and track the approval process for legal contracts with external agencies, healthcare organisations and healthcare professionals , including supporting the sales team’s approval process for legal contracts with HCP’s, external agencies, healthcare organisations and healthcare professionals. Ensuring they are completed successfully prior to the meetings taking place are fully compliant with SIIHPs policy.
  • Adherence to all applicable policies and procedures, including those relating to EHS, GMP, GCP, Quality and Compliance, consistent with the role and any associated responsibilities.
  • Own the delivery of all meetings within the business unit working with the Meeting co-ordinators and Business Owners to ensure the effective preparations and delivery of all on and off-site internal meetings.
  • Own the on-boarding and off boarding process for new team members, ensuring access, IT equipment, training and engagement plans are in place and co-ordinated for new starter.
  • Work as part of the central office team in Hatfield and support/cover as required and manage all office administration.
  • Other administration tasks required by Established Medicines subject to change, as new business needs arise.

For this role, we’re looking for a candidate who has an effective combination of the following qualifications, skills and experiences:

  • Excellent verbal and written communication skills
  • Strong IT skills with a good working knowledge of Microsoft Office Suite (Excel, Outlook, Word)
  • Resilient under pressure and confident to question decisions when necessary
  • Good team player with an enthusiastic self-motivated attitude
  • Proactive approach
  • Excellent organisational and time management skills
  • Ability to prioritise and multi-task is essential
