Whilst this post is based in Warminster, we practice hybrid working. For this post there would be a requirement to be in office 3 to 4 days a week. There may also be need for travel to other sites in the PAC area.

Job Summary

The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 12,000 MOD Civil Servants located at over 300 locations. Ours is a diverse workforce, with roles ranging from trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff. There are many different functions and professions delivering key outputs for the Army.

The Land Warfare Centre (LWC) is a two-star organisation, with its headquarters based mainly at Waterloo Lines, Warminster. LWC’s primary role is the Army’s training organisation and is responsible for driving the agile adaptation of the British Army.

LWC is closely linked with the rest of defence; and uses experimentation and lessons to optimise the Army and lead on the development of future capabilities. In the same way that operational capabilities must be continually developed to be more effective and efficient, our training capabilities for the Future Soldier.

Warminster Garrison is part of the LWC and is responsible for the oversight of all Barracks within the Garrison footprint and is home to 3 major units, Royal Dragoon Guards, and 2 Royal Yorks in Battlesbury Barracks and Falcon Squadron in Harman Lines.

The Garrison Management Team (GMT) Administrator forms part of the GMT at Warminster.

Warminster is part of a four Garrison Private Financial Investment (PFI) contract delivered by ADSL in place until 2041. This contract is known as PAC – Project Allenby Connaught. Locations include Warminster / Larkhill / Tidworth & Bulford / Aldershot Garrison.

The GMT Administrator role primarily covers the support to the Garrison Management Team (GMT) who manage and oversee hard and soft facility management of 3 camps, Waterloo Lines, Harman Lines and Battlesbury Barracks. The three camps are supported by stores, Transport, messing, as part of the support services provided by ADSL to allow units to deliver their outputs.

This position is advertised at 37 hours per week.

Job Description

The successful candidate will report to the Support Services Higher Executive Officer (HEO) and will undertake a wide range of duties and outputs in support of the GMT, including, but not limited to:

  • Maintaining a close working relationship with the Central Accommodation Booking System (CABS) team in respect of booking course accommodation for the Military Training Schools based in Warminster, being the liaison between CABS and the booking clerks in each School, helping to mediate any conflicts and ensure all courses can run
  • Be the Garrison point of contact for external units requiring accommodation at Waterloo Lines by approving or denying bookings from other units wishing to use Warminster accommodation that is administered by CABS. You will also manage the allocation and arrange cleaning of rooms in a transit accommodation block we control within Battlesbury Barracks
  • Support the HEO of Support Services, Estates and Health and Safety Officer as well as the Garrison Catering Warrant Officer (GCWO) by:
    • Recording Barrack Damage Reports on SharePoint and investigating individual cases when required
    • Assist with assurance and auditing inspections of the contractors services with both the HEO Support Services and the Central Management Team from Tidworth
    • Maintain and keep up to date the Garrison Building Manager and SHEF Contact list
    • Assist with the management and delivery of white goods used in Single Living Accommodation
    • Maintain the GMT SharePoint area, ensuring records are filed accurately and are kept relevant
    • Help with the management, storage, and movement of furniture within the Garrison
    • Attend meetings in lieu of and along with the GMT HEO’s
    • General admin duties for the GMT
    • To deputise for members of the GMT to ensure business continuity when required
    • Support the Purchasing Officer by receipting invoices, act as the liaison between the Purchasing Officer and stores and carry out monthly checks on water-coolers within the Garrison.
    • Assist the wider HQ Warminster Garrison Team with any ad-hoc duties relevant to grade as directed by GMT
  • Ad hoc duties as required

Person specification

Essential

We are looking for an individual who can deliver in a fast-paced environment, as well as having the ability to engage effectively with varying partners. You should have excellent organisation skills and an inquisitive mind and be willing to be flexible in what tasks you do.

Ideally you will have the skills to connect and communicate with staff at all levels, building strong working relationships with the contractor, Military and other Civil Servants.

Desirable

  • Good working knowledge of SharePoint, Excel and Word and knowledge of working with a PFI contract
  • A UK driving Licence
