We are seeking a detail-oriented and highly organised Administrator to join our team. This is a pivotal role that supports smooth business operations by ensuring all regulatory and compliance requirements are met during the client onboarding process. You will also provide general administrative support to Directors and Managers, and act as a first point of contact for clients and visitors, helping us deliver a professional and seamless client experience.
The Role
- Manage the full client onboarding process including documentation, ID verification, and AML checks.
- Log new client details and create electronic and physical files using IRIS (task management software).
- Prepare and submit welcome and accounts packs for internal review and client distribution.
- Upload onboarding packs to the client portal and manage the return and completion process.
- Ensure accurate electronic and paper record-keeping in compliance with regulatory standards.
- Carry out ID and anti-money laundering checks, ensuring records are securely saved.
- Manage the reception area, welcoming clients and visitors professionally.
- Handle company correspondence including phone calls, emails, letters, and deliveries.
- Ensure all paperwork is scanned and digitally archived before physical storage.
Excellent attention to detail and a methodical approach to documentation and compliance.
Strong administrative skills with the ability to multitask and prioritise effectively.
Proficiency with Microsoft Office and familiarity with IRIS or similar task management software (preferred).
Confidence in using technology and client management systems.
A professional and welcoming manner, with excellent verbal and written communication skills.
The ability to handle confidential information with discretion and integrity.
A team-player attitude with a willingness to support across the business when needed.
Previous experience in a regulated or client-facing environment (preferred but not essential).
