The Role
We are looking for an Administrative Assistant - Special Projects to join our team at our head office in Whitstable, Kent.
In this role, you will support with the processing of project documentation, ensuring accuracy, consistency, and full compliance with internal standards and project requirements as well as manage Cx platforms and project data.
You will work closely with the site team to compile and produce reports, playing a key role in supporting the successful delivery of our projects.
This is a varied and hands-on role that offers the opportunity to be involved in a wide range of activities across our commissioning operations.
Flexibility is important, as occasional travel and overseas work may be required.
Key Responsibilities
Monday to Friday 8am to 5pm
Friday 7am to 3pm
Lunch: 1 hour
There will be the need to travel circa 3-4 times per year to one of the sites which are based in London, Germany, Italy, Poland, Switzerland, Belgium and Finland.

The Role

Key Responsibilities
- Provide general administrative support to project and commissioning teams, ensuring smooth day-to-day operation
- Upload, manage, and maintain all project documentation, including drawings, reports, calculations, and schedules
- Distribute documents to relevant stakeholders, maintaining clear communication and version control
- Support the management of project programmes, tracking progress and contributing to Planned vs Actual (PvA) reporting
- Assist in the preparation of commissioning performance reports and other project-related documentation
- Ensure consistency and compliance across all documents, adhering to company and client standards
- Maintain and enforce document formats, templates, and naming conventions
- Proactively report and escalate any non-compliance or issues with document control or project tracking
- Liaise with internal and external teams to support data collection, schedule updates, and administrative coordination
- Take ownership of project-related administrative tasks as required, adapting to the needs of each phase and team
- Strong organisational and communication skills, both written and verbal
- Proven experience in administration, project support, or document control
- Ability to manage project programmes and interpret performance data with accuracy and attention to detail
- Capable of handling multiple demands, adapting to shifting priorities, and maintaining a high level of quality
- A collaborative team player with a flexible and proactive attitude
- Willingness to travel when required, including overseas assignments
- Experience working with project or system procedures within a structured project environment with a big plus
- Good with MS Office Suite, especially Excel for handling tracking sheets, logs, and reporting
- Expertise in business management systems and document control processes with be great
- Familiarity with document management systems and project tools (e.g. SharePoint, Aconex, or similar)
- A background in working with cross-functional teams, especially in a project management or commissioning context
- Previous involvement in supporting international or remote teams, particularly for large-scale projects
