Admin and Communications Team Leader


Reports to: Finance Director

Hours: 35 hours per week, made up of 7 hours per day between 8am and 6pm, on a rota basis.


Purpose of Role:


To work within, supervise and manage a team (currently 6, including the Team Leader) in providing full administration support to the Claims & Underwriting data management team. This role requires good communication skills, accuracy, ability to assimilate information, attention to detail and ability to work effectively under pressure.


Specific Responsibilities:


  • Supervise and allocate work undertaken by the team to ensure a comprehensive and efficient service to clients.
  • Undertake or work towards undertaking line management responsibilities (training and support will be provided)
  • Provide training and guidance to staff within the team where required
  • Working within multiple systems and dealing with IT to ensure good service for the team.
  • System and process review and improvement
  • Review and prioritise all incoming correspondence; checking for new incidents.
  • Checking databases for insurance entries and liaise with other departments about any queries.
  • Scan and reference correspondence onto system and update parties accordingly.
  • Monitor e-mails and other inboxes and distribute/action accordingly.
  • Process fee invoices into electronic payment system, provide support with client’s electronic fee system.
  • Set-up new payee bank details
  • Liaise internally and with external parties to deal efficiently and effectively with payment and other queries.
  • Monitor and update various databases.
  • Provision of management information to management.


The Person:


  • Previous supervisory and/or management experience with ability to mentor and train other team members (desirable but not essential)
  • Experience working across different systems
  • Ability to produce accurate and compliant documentation
  • Ability to organise and prioritise own workload as well as that of the team
  • Ability to work under pressure and meet deadlines
  • Good team-working skills
  • Good written & verbal communication skills
  • Willingness to learn
  • IT literate
  • Previous office experience
  • Experience with Outlook
