This post is fixed term / secondment until 30.11.2026 due to Secondment Cover.

Job Summary/Job Purpose:
The post holder will assist the Divisional Lead and the Operations Manager with the day to day management of the North Wales Out of Hours Service – Central Division.
This includes the management of staff, medical and IT equipment and facilities used to provide the Out of Hours Service in all Out of Hours Treatment Centres.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main duties of the job
Communication
Ø Deal with multi faceted information with regards to complaints i.e. patient sensitive information with issues of confidentiality in the appropriate way.
Ø Investigate complaints so that the relevant information can be passed on to the people/organisations involved. This involves travelling to the different centres to retrieve recorded conversations, getting data from the Adastra system and liaising with other organisations and/or complainant
Rotas
Ø Complete and maintain the Out of Hours Service rotas (Rota-Master) for support staff, ensuring that rotas are completed two months in advance. Ensure that cover is adequate and in line with service specifications and that all staff are advised of the sessions allocated to them.
Finance
Ø Process requisitions for various items – consumables, equipment, staff uniforms etc.
IT/Training
Ø Resolve IT issues (Hardware and Software) relating to individuals and centres and act as the HB contact for the providers

- NVQ Level 3 in Administration or equivalent level of experience or knowledge ECDL or equivalent knowledge or experience
- ECDL or equivalent knowledge or experience
- Evidence of experience acquired within an NHS/public sector environment.
- Excellent IT skills in all aspects of MS Office to include Excel and SharePoint
- IT Qualification
- Experience of procurement and financial mechanisms, ie, placing orders, tracking and clearing invoices
- Experience of working in a GP Out of Hours service.
- Knowledge of GP Out of Hours service provision
Essential criteria
- Significant experience of full range of office procedures and practices.
- Comprehensive experience of using a range of Microsoft software packages.
