The role:

Reporting to the Head of Regulatory Affairs & Quality Assurance, the Regulatory Affairs & Quality Assurance Executive plays a key role in supporting the delivery of robust regulatory, safety, and quality compliance across all products, retailers, and jurisdictions. The role works closely with internal stakeholders and external partners to proactively manage regulatory requirements, coordinate product documentation, track regulatory change, review technical and product information, and support the business in achieving timely, compliant, and high-quality product launches. The Executive will contribute to continuous improvement of compliance processes and provide a reliable point of expertise within the Regulatory Affairs & Quality Assurance function.


Regulatory & Compliance Management

  • Maintain up-to-date knowledge of relevant regulations, industry standards and regulatory guidance, proactively monitoring regulatory developments and leading horizon-scanning activities to assess potential business impacts.
  • Lead the collation, review and coordination of documentation required to establish and maintain Product Information Files (PIFs), ensuring records remain complete, accurate, traceable and audit-ready throughout the product lifecycle.
  • Review and assess product claims, ingredient listings, packaging, artwork and labelling to ensure compliance with applicable regulations and internal requirements, providing guidance and challenge where required.
  • Liaise directly with the Responsible Person and external regulatory partners to support product assessments, notifications, registrations and market access activities.
  • Own the day-to-day management of compliance records, trackers and regulatory databases, ensuring data integrity, traceability and launch readiness.
  • Manage the maintenance, renewal and ongoing compliance of product certifications, accreditations and registrations across applicable markets.
  • Conduct regulatory risk assessments and proactively identify, assess and escalate regulatory risks and/or non-compliances to the Head of Regulatory Affairs & Quality Assurance.


Pre-Production Quality Assurance

  • Embed Quality-by-Design principles throughout product development activities, ensuring regulatory, safety and quality requirements are considered from concept through to launch.
  • Review supplier, manufacturer and raw material documentation to confirm regulatory compliance, manufacturing suitability and alignment with BYOMA quality standards.
  • Participate in new product risk assessments, identifying potential product safety, quality and compliance risks and ensuring mitigation plans are established.
  • Coordinate product registration and notification activities across relevant markets and regulatory jurisdictions.
  • Manage regulatory and quality approval workflows for new product launches, ensuring all required activities, approvals and supporting evidence are completed prior to handover to Supply Chain.


Technical Documentation & Testing

  • Review technical documentation relating to formulation, packaging, stability, compatibility, PET and other validation activities to ensure compliance with approved specifications and internal requirements.
  • Coordinate and oversee testing programmes, ensuring evidence is complete, traceable and available to support product launch decisions.
  • Review consumer-facing copy, claims and artwork, providing regulatory guidance and approval to ensure compliance with applicable requirements and claims substantiation standards.
  • Evaluate testing outcomes and product performance data, escalating risks, failures, trends and non-conformances where appropriate.


Cross-Functional Collaboration

  • Act as a trusted regulatory and quality partner to Product Development, Design, VM, Marketing, Supply Chain and Customer Service teams, providing pragmatic guidance that balances compliance requirements with commercial objectives.
  • Partner with Product Development to ensure innovation pipelines align with regulatory requirements and quality standards.
  • Manage relationships with external vendors, laboratories, consultants and regulatory agencies to support compliant and efficient product development activities.
  • Collaborate with Customer Service to review customer complaints, product concerns and emerging consumer trends, identifying opportunities for corrective action, risk reduction and continuous improvement.
  • Work closely with Quality Control and Supply Chain partners to support investigations, deviations, CAPAs and product quality improvements.
  • Ensure clear communication, effective record management and end-to-end traceability across all regulatory and quality activities.


Risk Management & Continuous Improvement

  • Lead risk-based assessments relating to new product launches, formula changes, packaging modifications and regulatory developments, ensuring mitigation plans are defined and monitored.
  • Maintain awareness of regulatory developments across global markets and communicate potential impacts to relevant stakeholders.
  • Support internal audits, inspections and compliance reviews, identifying improvement opportunities and driving closure of resulting actions.
  • Support the development and continuous improvement of the Quality Management System, driving increased compliance maturity, documentation control, traceability and operational effectiveness.
  • Contribute to the development and maintenance of Regulatory Affairs & QA KPIs, dashboards and reporting tools to support data-driven decision making and governance.
  • Promote a culture of continuous improvement by identifying opportunities to simplify processes, improve efficiency and strengthen regulatory and quality performance.

  • Experience working in a Regulatory Affairs & Quality Assurance capacity for a beauty brand/manufacturer; with strong regulatory knowledge and technical expertise
  • Ability to work independently while effectively managing multiple priorities.
