Project Support - Strategic Estates

Please note: at this stage, the role is open only to colleagues currently employed by the Kent and Medway Integrated Care Board (ICB) and Southeast Integrated Care Boards; and current at-risk employees within Kent and Medway NHS Trusts.
We are seeking a proactive support officer with good organisational and administrative skills to play a key role in the Strategic Estates Team and specifically contractual GP premises related work. The role contributes to the delivery of the NHS estates programme across Kent and Medway.
The postholder provides administrative, financial and project coordination support to the Strategic Estates team, contributing to the delivery of the NHS estates programme across Kent and Medway. They support the day-to-day management of premises related contractual requirements for General Practice and maintaining documentation. They support the processes that underpin delivery of estates programmes, maintain financial and project documentation, coordinate key meetings and assist with budget management. Working closely with colleagues across the wider team, the postholder ensures smooth operational delivery and supports the effective management of estates projects in line with ICB and national strategies.

- Support the delivery of the estates programme, ensuring alignment with ICB and national strategies and using a multidisciplinary approach.
- Manage the Estates inbox, ensuring appropriate allocation within the team, timely responses or appropriate escalation.
- Provide administrative support to key meetings not served by the Committees team, including organising logistics, preparing agendas, circulating papers and taking accurate minutes.
- Support the day-to-day management of premises related contractual requirements for General Practice and maintaining documentation, including (but not limited to) notional rent, rent reviews, rent disputes, business rate refunds and lease renewals, including supporting liaison with the District Valuer
- Support preparation and assessment documentation required for estates programme delivery.
- Support the process to respond to planning applications and requests for planning obligations (S106/infrastructure) , maintaining spreadsheets and documentation.
