  • About The Role

  • This is an exciting opportunity for you to join our Facilities Management team as the Postal Operations

    Assistant Manager in Taunton, supporting our ePost function. Reporting to the Postal Operations Manager and working collaboratively with the Office & Facilities Manager in Southampton to successfully deliver a highly efficient and secure e-post operation that supports our national teams and our clients.

    You will predominantly be working out of our Taunton office but will be required to visit our Southampton office when necessary.

    Day to day, you’ll be successful in this role by:
    • Becoming an expert on the inner workings of our Flowmatrix digital post system and ePost processes
    • Supporting the Postal Operations Manager in reviewing and building on existing processes and implementing improvements that efficiently meet current SLA’s that suit all areas of the business. Specifically reviewing (but not exclusive to) postal triaging, processing of post bundles, rescanning post, post retrievals and 28-day post destruction.
    • Communicating effectively with the business by responding to queries on all ePost functions, investigating and resolving any disruptions to service or issues within ePost raised by employees.
    • Assisting with the hands-on process of ePost, retrievals and 28-day destruction process.
    • Assisting with training new staff on ePost.
    • Supporting the Postal Operations Manager with Running reports from Flow Matrix and collating data, as well as, recording productivity and activity reports. Analysing data to develop evidence-based process improvements. Highlighting any key challenges and working with teams within the business to resolve any specific concerns.
    • Assisting with periodic audits on ePost ensuring our current processes are compliant with our Information Security and Data Protection policies
    • Ensuring all work is quality checked and carried out as planned.
    • Supervise and support with the Management of the Facilities Services Assistants in Taunton
    • Effectively managing the Facilities Services Assistants ensuring that SOP ’s and SLA ’s are in place to meet business needs and that these are being adhered to.
    • Assist with the training requirements for all members of facilities within your team, ensuring all training is up to date and supporting the creation of business cases where necessary for bespoke training. Where necessary, deliver training and upskilling to team members.
    • Support the Postal Operations Manager in all staff management processes for your team, including recruitment process, sickness and holiday absences and performance management.
    The role is right for you if:

    You will be an experienced people manager with proven experience in Operations Management work or similar disciplines such as, Project Management or Business Management. You will be a highly organised problem solver, with a willingness to learn and develop.

    Communication will be one of your strong points, both written and oral, and you will be enthusiastic about delivering excellent quality service to your stakeholders.

    You will be skilled in delivering continuous activity improvements and interpreting management information and data.

    Finally, you should be proactive and flexible in working both individually and as part of a team, with minimal supervision, and be able to prioritise a number of different projects effectively
