About WeBuyVintage

WeBuyVintage is the UK's largest face-to-face buyer of jewellery, antiques and collectables. We run more valuation events than any other company in the country - over 250 roadshows every month - putting trusted experts face-to-face with customers in community spaces nationwide. Alongside this, our rapidly scaling nationwide home-visit service and a growing network of in-store selling locations reinforce our commitment to in-person service.

Co-founded three years ago around a pub table, we've already built a profitable £60m+ turnover business without any external investment. We're on a mission to make WeBuyVintage a brand everyone recognises.

We now need someone exceptional to help keep pace with the business and ensure the founders’ focus remains on the highest-value priorities.

The Role

This is not a traditional executive assistant role. We’re looking for an experienced Executive Assistant, someone proactive and commercially aware who thrives in a fast-growth environment. You’ll act as the founders’ right hand, shadowing them day to day and creating leverage for them whilst helping the whole business run more smoothly. This role will also provide some support to our co-founder and directors.

You’ll manage critical priorities, handle sensitive communication, and anticipate needs before they arise. You’ll be embedded in the rhythm of the business - in our Cambridge office most days, with some travel required.

Key Responsibilities

Executive Support:

  • Manage complex diaries, travel, and daily workflows for the founders.
  • Prioritise and triage communication, drafting responses where needed.
  • Prepare briefs, agendas, and follow-ups to make meetings purposeful and productive.
  • Track progress on strategic projects and drive accountability across teams.
  • Coordinate board communications, management meetings, dealer calls, and newsletters.

Culture & People Operations

  • Champion company culture, ensuring values are embedded in daily operations.
  • Help pro-actively planning and opening of new office locations
  • Organise team events, off-sites, and key milestones to boost morale.

Strategic & Personal Leverage

  • Anticipate challenges, spot gaps, and proactively remove bottlenecks.
  • Act as a trusted sounding board for the founders on key decisions and initiatives.
  • Handle personal admin that impacts professional schedules (travel, household logistics, etc.) so the founders stay focused on the business.

What We’re Looking For

  • High level of organisation and attention to detail - you take pride in protecting time, simplifying complexity, and keeping things moving.
  • Commercially curious: you want to understand how the whole business works and spot opportunities or risks before others do.
  • AI-native: you already use tools like ChatGPT, Notion AI, Replit, and workflow automation to draft comms, summarise meetings, prep briefs, organise data, and generally work faster and smarter.
  • Sharp, discreet, and resilient: comfortable handling sensitive comms and high-stakes priorities.
  • Practical: full UK driving licence and willingness to travel with founders when required
  • Experience providing personal and executive support to C-Level executives or founders in previous roles.

You’ll Get

  • 4 day working week
  • Pension
  • Mental Wellness Support
  • 20 days annual leave + bank holidays
  • Access to Bright HR employee discount portal
  • Be part of shaping the culture and operations of a company that’s modernising a traditional industry.
